Internet Archive is seeking a Program Coordinator to work in our Archiving & Data Services group. The Program Coordinator will lead the development and implementation of a new collaborative initiative focused on providing digital archiving and access services to state and local government agencies and cultivating a community of practice and collaborative collecting around the preservation and access of digital government information. This work will include interfacing with government representatives, convening partner meetings, designing and leading workshops and trainings, providing support to program participants, and presenting on the initiative to professional communities and other stakeholders. The Program Coordinator will also support the operations and administration of, and work closely with peers supporting, Community Webs, CARTA, Today’s News for Tomorrow, and other national-scale, multi-institutional, collaborative initiatives providing archiving and access services to mission-aligned organizations.

Internet Archive’s Archiving & Data Services group builds and manages a variety of products, programs, and services used by over 1,500 libraries, archives, governments, non-profits, and information organizations around the world to preserve and provide access to digital materials. The role will be situated in our Community Programs team which supports programs, projects, and initiatives that provide a range of digital services, education, professional development opportunities, and collaboration platforms to advance the preservation of and access to knowledge. The ideal candidate will have demonstrated experience managing complex projects, engaging stakeholders, developing partnerships, learning new technologies, and designing and leading training programs. The ability to multitask in a dynamic, fast-paced environment is essential. The successful candidate will have a strong interest in digital archiving, community building, and our nonprofit mission.

Key Responsibilities

  • Lead outreach, recruitment, and engagement efforts.

  • Liaise directly with external partners, including government agencies of many sizes, consultants and external vendors, and senior leadership at other organizations.

  • Develop effective training programs and partner communications.

  • Plan, run, and administer in-person and online events, from conferences to invitational meetings to webinars.

  • Conduct research and knowledge gathering in support of program and partnership development.

  • Interface with and support team members on key projects, operations, and initiatives.

  • Provide technical and archiving support to users of our services in collaboration with other team members.

  • Create, manage, and maintain various internal reporting on key metrics and data and contribute to grant reports, contracts, partnerships and strategic collaborations, communications, and outreach.

  • Conduct additional duties as assigned in support of managers and our organization.

Qualification and Skills

  • 3-5 years of project management experience is required.

  • Candidates should have experience working directly for or with local government agencies, libraries, archives, non-profits, or social impact organizations and should be motivated by our mission of “Universal Access to All Knowledge.”

  • Knowledge of library and digital archiving tools, concepts, and best practices is preferred.

  • Demonstrated experience designing effective instructional materials and programs is required.

  • Experience working remotely within a distributed team is a plus.

  • Must be able to balance multiple simultaneous projects, prioritize deadlines and responsibilities, and work in and enjoy a loosely-structured, dynamic work environment where all staff are juggling many projects and areas of responsibility.

  • Candidates should have excellent communication skills both to interact directly with colleagues and to represent Internet Archive externally, including comfort and skill with public speaking and interacting with collaborators at all levels of seniority.

  • Flexibility, self-reliance, a sense of humor, a creative approach to problem-solving, and a production-oriented mentality are valuable qualities for success in the role.

  • Candidates should have excellent time management and multitasking skills and be able to both work independently and to seek advice when needed.

  • Some familiarity with our internal tools (Slack, Google Workspace, Jira, Zoom) is beneficial.

  • The role requires some travel to North America based events and meetings, including team and organization in-person meetings as well as conferences, symposia, and partner-convening events conducted as part of our programs.

Job Details

This is a full-time, permanent, remote-first position working in a distributed team and is open to candidates of various levels of experience and seniority. Candidates will need to be based in the United States and have significant time overlap with largely Pacific Time based colleagues. Compensation will be commensurate with experience with a general salary range of $60,000 to $90,000 that will take into account experience and location.
