About this role

MuckRock is seeking an Operations Manager.

The Operations Manager ensures MuckRock’s day-to-day administrative and financial operations run smoothly and reliably. This role serves as the primary point of contact for our fiscally-sponsored organizations and owns the execution of recurring operational processes, from invoicing and accounts receivable to gift tracking and annual filings. This position reports to the COO and works closely with our accounting team, fiscally sponsored projects, and staff across the organization. The right candidate brings strong organizational skills, attention to detail, and the ability to manage multiple ongoing processes without things falling through the cracks.

We have budgeted $55,000 to $70,000 for this role.

MuckRock is a fully distributed team and this is a remote position – you can work from anywhere in the United States. Our executive team is based in California, Colorado, New Jersey and Philadelphia.

Core responsibilities in this role include:

Administrative Operations & Compliance — Handle recurring administrative and operational tasks including but not limited to incoming mail, annual filings, meeting logistics, managing office supplies such as business cards, and retreat coordination. You will also be working to help onboard and offboard staff smoothly as needed. Consistent execution of these foundational tasks frees leadership to focus on strategic priorities and ensures organizational compliance.

Fiscal Sponsor Operations — Serve as the primary point of contact for MuckRock’s fiscally sponsored organizations, ensuring they receive timely, reliable support for administrative and financial questions.

Gift Processing & Donor Operations — Ensure smooth donation workflows across platforms, supporting our development team in tracking expected gifts while maintaining accurate financial records. Our fundraising operations depend on clean donor data and timely processing, enabling our development team to focus on building relationships.

Revenue Operations & Accounts Receivable — Own the invoicing lifecycle from request through payment, including vendor portal registration and follow-up on outstanding receivables. Reliable revenue collection ensures MuckRock can sustainably fund its programs and meet grant commitments.

Accounts Payable & Vendor Management — Ensure contractors, vendors and partners are paid accurately and on time by managing billing portals, processing invoices, and coordinating with accounting. Strong vendor relationships and financial reliability support MuckRock’s reputation and operational continuity.

We do not expect a successful candidate to arrive at MuckRock ready to succeed in all of these areas of work without supervision or support.

Experience with nonprofit operations, donor management, HR and benefits management, bookkeeping basics, or administrative coordination is valuable, but we care more about aptitude and work style than a specific background or expertise.
